Editing a User group

Who can edit a User group?

The following users can edit User groups and manage their members:

  • Those with a Super admin account - have unlimited access, full owner/member management and permission setting across all users in the system
  • User group Owners with a Config Admin account (note a Role is not required) - will have a menu option for the User group. They have the ability to demote owners, promote members and remove either from the group. They cannot add members as they are limited to visibilty of users already in the group. They have limited ability to edit/assign permissions. They can delete the User group
  • User group Owners with an Internal account type do not not have the menu option for the User group. However, they can access it with a URL such as this: https://catalyst-domain-url/administration/user-groups/89 (89 is the User group ID). With the correct URL, they have the same permissions as a User group Owner with a Config Admin account

A User group Owner will always be a member of the User group and the User group may have several Owners.

The User group page can be accessed by double clicking the User group row in the list or by selecting Open in its Actions menu.

What can be edited?

Edit page

The Edit page has the group name and the description, if one has been added, at the top. These fields can be edited in-place by clicking into them, changing the text and clicking out again; no further save is required. The description field has a character counter which indicates the maximum allowed as 500.

This page will also tell you the number of members in the group and display the avatar(s) of the User group owner(s). This information is non-editable but instead will change when Members and/or Owners are added/removed.

Alongside is the filter for Members (which is the default setting), Non-members and Owners. There is also an option which will show you all Users of the system (super admins only).

The User group Members list has five columns which show the following:

  • Name - the first and last names of the User
  • Username - the User's email address
  • Added - the date the User became a group member/owner
  • Membership - the User's status as an Owner or a Member of the group
  • Actions - menu which will offer the following options
If the User is a Member: - Promote to owner - Remove from groupmceclip0.png
If the User is an Owner: - Demote to member - Remove from groupmceclip0.png

Using filters and actions

Using the Members filter and the Actions menu options (and depending on account type and membership status), a user can:

  • add or remove other owners from the User group
  • add or remove members from the User group
  • demote owners to members
  • promote members to owners

When filtered to the Members and Non-members lists, bulk actions for addition or removal can be taken.

For example, the below screenshot shows how three new Members can be added from the Non-members list. As soon as the box is checked in the left hand column adjacent to the first selected User's name, the +Add as members button is enabled.

Likewise, when filtered to the Members list, multiple members can be removed from the group in one action.

When the action button is clicked a fly-in toast confirmation message is shown like the one below.

When filtered to Owners, the list does not have the checkboxes for selecting multiple owners as there are no batch actions available here. There are also no column filters or rows per page options for this list as the maximum number of owners allowed is 10.

Again, when actions are completed, a fly-in toast confirmation message is shown.

Useful info

  1. Users with a Super admin account type do not need to be an owner/member of the User group.
  2. Members of the User group with a Config Admin or Internal account type will be able to view the User group via the same mechanism as Owners, described above, but they cannot edit or delete.
  3. When a Super admin clicks on an owner/member avatar, it will display that User's contact information.
  4. If you cannot find a User in the Members/Non-members filter, remember that the system default is to display only the first 10 rows in a list. Change the setting to All or use the search filter to find users by username.
