Why do I need user groups?

Traditionally, users of systems are given roles. A user's role will determine what they can see and do in that system.

Your Catalyst system does, of course, have users of different types, and some of these are given a role or multiple roles.

However, we also have User groups. This is a set of users who may have different roles, or who may be a subset group all with the same role or permission set. Effectively, these people are grouped together as a team.

User groups allow Super admins, and other users who have the appropriate permissions, to manage teams of people and easily reference multiple users in different areas of the system.

User groups can be added to the following system areas

Note: User groups can be assigned an Object Class Record permission set, but this is done only via a Record Access actor or API. Therefore, this is set up in the sequencer.

  • Record Access actor — append, override, or remove users in a user group from the permission set

  • Selection of Task assignees on creation of a Manual task

  • Manual re-assignment of tasks

  • Select in a send message actor in a sequence so that each member of the user group will receive the same email

Useful info

  1. A user can belong to several user groups.
  2. The user who creates a User group will automatically be added as a member and an owner.
  3. A User group can have up to 10 Owners.
  4. A User group can have up to 1,000,000 Members.
  5. The maximum number of User groups you can have in your system is 1,000.
